Cocaine Anonymous Sussex is committed to protecting your privacy and anonymity. We will use your personal information in accordance with data protection law, and not do anything with your information that you wouldn’t reasonably expect.

Our helplines are designed so that telephone volunteers can’t see your contact details, however, some information that could be used to identify you is stored on our telephonic service partners central system and can be accessed by the helpline chair and vice chair only. 

How we get the personal information and why we have it

The following information may be recorded when you use our services and speak to a volunteer:

  • Date of call
  • Caller gender (if given)
  • Caller age (if given)
  • Phone number (if given)
  • Where you live (if given)
  • Caller concerns
  • Email address (if contact is by email)

We will only share these for the following reasons:

  • To put you in touch with a responder from your area or relevant committee persons, if you have verbally consented.
  • If it appears there is a threat to life, we may share this information with the emergency services.

Statistical information, such as general location and reason for call may be used to report on and improve our service. 

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are: 

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting helpline@ca-sussex.uk 

(b) We have a legitimate interest.

How we store your personal information

Your information is securely stored. When you ring our helpline, your phone number is stored on our telephonic service partners database, which is password protected and only accessible to the chair and vice chair. Your phone number will be automatically deleted after 3 years.

Phone volunteers who take your call will only have your personal information, if you choose to share this with them. If you consent to your personal information being shared, they will keep this information for 7 days, after which they will shred paper evidence or delete information off their phone unless you express permission for them to keep it longer.

Limited data, such as general location and reason for call, is held in a cloud based database for a maximum of 2 years.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access – you have the right to ask us for copies of your personal information.
  • Your right to rectification – you have the right to ask us to rectify personal information you think is inaccurate. 
  • You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure – you have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing – you have the right to ask us to restrict the processing of your personal information in certain circumstances.
  • Your right to object to processing – you have the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability – you have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
  • You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
